Shipping means handling names, addresses and contact details. This policy explains, in plain language, what personal information Fleetora Freight collects, why we need it, who we share it with and the choices you have.

Who We Are

Fleetora Freight operates the Fleetora Freight shipping and tracking service at fleetorafreight.com. We are responsible for (the "controller" of) the personal information described in this policy.

This policy applies to shippers, recipients, account holders and anyone who visits our website, contacts us or chats with us. It should be read together with our Terms & Policies and Cookie Policy.

Information We Collect

Information you give us

  • Shipment details — sender and recipient names, addresses, countries, phone numbers and e-mail addresses, and a description, weight, dimensions and value of the goods.
  • Account details — your name, e-mail address, phone number, address and password (stored only in encrypted, hashed form).
  • Messages — what you send through our contact form, by e-mail, by phone or in live chat, including your name, e-mail and phone number.
  • Claims and payments — information needed to handle a claim or refund, such as invoices, photos and payment references.
  • Customs documents — commercial invoices and, where the destination country requires it, identity or tax numbers.

Information collected automatically

  • Technical data — IP address, browser type and device, recorded when you submit a form or log in, to protect against spam and misuse.
  • Tracking lookups — the tracking number you enter, so we can show its status.
  • Cookies — a small number of essential and functional cookies, described in our Cookie Policy.

We do not store full payment-card numbers on this website.

Who We Share It With

We never sell or rent personal information. We share it only where needed to provide our service or meet the law:

  • Carriers and delivery partners who collect, transport and deliver the shipment.
  • Customs authorities and customs brokers in the origin, transit and destination countries, for clearance.
  • Service providers who run parts of our service for us: website hosting and e-mail (Hostinger), live chat (Smartsupp), website translation (GTranslate) and map display (OpenStreetMap). They may only use the data to provide their service to us.
  • Professional advisers such as accountants, insurers and lawyers, when needed.
  • Authorities — police, courts or regulators — when the law requires it or to prevent fraud or crime.
  • A buyer or successor if our business is reorganised or sold, under the same privacy protections.

International Transfers

International shipping means your information travels with your goods to the countries on the shipment's route. Some of our service providers also process data outside your country. Where the law requires it, we use recognised safeguards — such as standard contractual clauses — so your information stays protected to the same standard.

How Long We Keep It

We keep personal information only as long as we need it for the purposes above or as the law requires:

How We Protect It

  • Our website uses an encrypted HTTPS connection.
  • Passwords are stored as bcrypt hashes — nobody at Fleetora Freight can see them.
  • Logins are protected against guessing with rate limiting, and sessions end automatically after 30 minutes of inactivity.
  • Access to customer data is limited to staff who need it for their work.

No system is completely secure. If a data breach affects you, we will tell you and the relevant authorities where the law requires it.

Your Rights

Depending on where you live, you may have the right to:

Get a copy of the personal information we hold about you.
Correction
Ask us to fix information that is wrong or incomplete.
Deletion
Ask us to delete your information, unless we must keep it by law.
Restriction & objection
Ask us to limit or stop using your information in some cases.
Portability
Receive your information in a common, machine-readable format.
Withdraw consent
Stop optional uses, such as marketing, at any time.

To use any of these rights, e-mail contact@fleetorafreight.com with "Privacy request" in the subject. We may ask you to confirm your identity, and we reply within 30 days. You also have the right to complain to the data-protection authority in your country.

Recipients & Third Parties

If you received a shipment or a tracking e-mail from us, your details were most likely given to us by the sender so we could deliver to you. We use them only for that delivery and its customs clearance, and you have the same rights described above.

When you give us someone else's details, please make sure they know you are sharing them with us for delivery.

Children

Our services are intended for adults and businesses. We do not knowingly collect personal information from children under 16 for account registration. If you believe a child has given us their information, contact us and we will delete it.

Changes to This Policy

We may update this policy when our services or the law change. The "Last updated" date at the top shows the latest version. If a change significantly affects how we use your information, we will let account holders know by e-mail.
